HDR Systems Improvements Project

The University is undertaking an exciting initiative, known as the HDR Scholarship Management Solution, to deliver efficiencies in the assessment, awarding, management and reporting of HDR scholarships. For anyone who has not attended an information session on this initiative, an information session recording can be accessed from this link.

As part of this HDR Scholarship Management solution initiative there will be changes made to iGrad ColRec screens on April 29. A summary of changes to the iGrad ColRec screens is:

• Dashboard view – Separate tabs for Applicants, Candidates and Scholarship Rounds. When the solution is fully functional you will be able to use the new Scholarship Rounds tab to see HDR Applications in Scholarship Assessment rounds.
• Application Tab for GRO setup only – New to this screen:
  • Scholarship Assessment Rounds the Application is part of – this is set up by GRO
  • Alternative Pathway check box – If the applicant is coming via Alternate Pathway entry, the case is made here. This is now approved by the Associate Dean of Research for a College with delegation from the Dean of Graduate Research as part of the ColRec process.
  • English Language Requirements – If the applicant has not met the English Language Requirements in their application, the supervisor will need to request a case for equivalency here, or confirm that any offer will be conditional on meeting the requirement. This replaces a current eForm that is submitted and allows visibility to all actors in the workflow.
  • The Application pack is now one single PDF file – this will now be available to view in the top bar, so can be accessed from any tab.
• Evaluation Tab –
  • English Language Requirements – If the applicant has not met the English Language Requirements in their application, the supervisor will need to request a case for equivalency here, or confirm that any offer will be conditional on meeting the requirement. This will be via a dropdown selection and mandatory comment.
  • Alternative Pathway – If the applicant is coming via Alternate Pathway entry, the case is made here.
• Scholarships Tab has been removed, information previously held on this screen has been moved to the new School Assessment Committee and College Assessment Committee
• New tabs – ‘School Assessment Committee’ and ‘College Assessment Committee’ – These tabs are used by members of School and College Assessment committees.

One Page Overview – Streamlining HDR Candidature and Scholarship Application Assessment

A vision for the HDR Scholarship Management solution is over time is the flexibility for each School and College can develop its own way of streamlining HDR Candidature and Scholarship application assessments to suit the College. For now the only impacts are the fields listed above to compliment the new scholarship committee tabs.
